It probably won't make much difference, though when you select your "noise only" sample for the noise profile, it should not include any breathing - you want only the "zzzz" for your noise sample. If in doubt, test it both ways - depending on the actual audio it may be a bit bett...

All the export formats are now included in the same Export menu.

Can your exported files be imported correctly into iTunes? If they can then your export is correct but your Olympus Dictaphone requires some other format.

I presume that the users are all sharing the same user account?
Preferences are by their nature intended to be (per user) writeable, However, I think it would be possible to modify Audacity to hide the Preference menu. Would that suffice?

If there are silences between the words then you could use Sound Finder.

My guess is that the files are faulty. One way to prove it would be to send the MP3 back to your client and ask them to play it.
